This website is run by The Pheasant Inn, Stannersburn, Falstone, Hexham, Northumberland NE48 1DD. When we say “we” or “us” in this policy, we mean The Pheasant Inn, which is responsible for your personal information as the data controller.

- When you book a room or Garden Cottage: your name, address, email address, phone number, the details of your stay and any requests (such as dietary or access needs), and your payment card details to secure the booking.
- When you contact us: the details you give us through our contact form, by email or by phone.
- When you book a table: your name, phone number and booking details.
- When you use our website: basic technical information such as your browser and the pages you visit, collected through cookies (see below).
- If you sign up for news and offers: your email address.
How we use it, and why
- To manage your booking and stay, because we need to in order to provide the service you’ve booked (contract).
- To answer your enquiries, because it’s in our legitimate interests to reply to you.
- To keep financial records, because the law requires us to (legal obligation).
- To send you news and offers, only if you’ve agreed to it (consent). You can unsubscribe at any time.
- To understand how our website is used, if you’ve accepted analytics cookies (consent).
Who we share it with
We never sell or rent your personal information. We share it only with companies that help us run the inn, and only as much as they need:
- Guestline, our online booking system, which processes room bookings and card details securely.
- Clover, our card payment provider, which processes card payments taken at the inn. Angela mentioned the inn is switching card provider. Update this line when the change happens.
- Our website hosting provider, which stores the website and any messages you send us through the contact form, and names.co.uk, which provides our email.

We may also share information where the law requires it, for example with HMRC or if ordered by a court.
Cookies
Cookies are small files stored on your device. We use essential cookies to make the website work. Suggested: if Google Analytics or similar is used, say so here, and add a cookie banner so visitors can accept or decline analytics cookies. You can also control cookies in your browser settings.
How long we keep it
- Suggested: booking and payment records for six years, to meet tax and accounting rules.
- Suggested: general enquiries for up to 12 months.
- Marketing emails until you unsubscribe.
We keep your information secure and take sensible steps to protect it against loss, misuse or alteration.
Your rights
You have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to withdraw consent at any time. To make a request, email stay@thepheasantinn.com.
To stop receiving marketing emails, use the unsubscribe link in any email, or reply with “UNSUBSCRIBE” in the subject line.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first and we’ll try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
